How Puffin works
Puffin is a plugin for ChatGPT. You ask in your own words, and Puffin shows a card so you can check everything before it goes to a client.
Getting started
Add Puffin and connect
Find Puffin in ChatGPT and tap Connect. Type your email, then the 6-digit code we send you. There's no password. If you lose access to your email, a backup email can get you back in.
Set up in 3 steps
Tell Puffin what you do in a sentence, or paste your website. Puffin suggests your services, prices, payment terms, logo and colors on a setup card. Change anything, then tap Finish setup. Setup never reads Etsy shop pages.
Make your first quote
Setup ends with a sample quote built from your own services. Say who it's for, check it, and send it.
What you can do
HQ home
Say “open Puffin” for your dashboard: what's coming in, what was paid this month, what's late, buttons to start a quote or invoice, and your next 3 things to do.
Clients
“Add Maya from Bloom Studio.” Paste an email signature and Puffin pulls out the name, company and email. Each client keeps their notes and history in one place.
Quotes
“Quote Leo for a website, $1,500.” Puffin fills in what Leo usually gets, you check the card and tap Send. Leo gets a link and a PDF, and accepts or declines online with no account.
Invoices
Turn an accepted quote into an invoice with one request, or start a new one. Invoice numbers follow your country's rules, and the client gets a link and a PDF. You can see when they've opened it.
Card payments
Connect your own Stripe account and invoices get a Pay now link for card, Apple Pay, Google Pay or bank transfer. Stripe takes its usual fee. Puffin takes no cut. Paid by bank or cash instead? Record it on the invoice card.
Kind reminders
“Who owes me money?” shows every due and late invoice, and quotes waiting for a reply, each with a polite reminder drafted. The later the invoice, the firmer the wording. On Free you tap Send; on Pro, Puffin can send payment reminders for you, and you can switch that off for any client.
How business is going
“How did October go?” Puffin answers with what you earned, what's owed, what's late and your best clients, from the payments it has recorded.
Possible work
“Northside Gym might want a new website, maybe $3,000.” Keep track of leads from first chat to won or lost, then turn one into a quote without typing it twice.
Hours
“Log 3 hours for Maya's website.” Approve the hours on the timesheet card, then bill them as lines on a new draft invoice.
Products and stock (for makers)
Save your materials and what goes into each product, and Puffin works out what each one costs to make. Record a batch and the materials come off your stock. See what's on the shelf and what it's worth, and get a reorder email to your supplier when something runs low.
Bring your records with you
Upload a spreadsheet, or an export from Bonsai, HoneyBook or another tool. Puffin matches the columns, shows you a preview, and brings in your clients and unpaid invoices when you tap the button.
Focus timer
“Start a focus timer.” 25 minutes of work, then a 5 minute break, right in the chat.
You're always the one who presses Send
ChatGPT can make mistakes, so quotes, invoices, reminders, payments and account changes always wait for you to tap a button on a card. The one exception is Pro's automatic payment reminders, which you can switch off for any client.
Ready when you are.
Up to 5 short emails about the launch, then we delete your address, unless you ask for tips.
